    It catches

    The invoice, the certificate request and the customer confirmation all still say 2,000. The document deadline is 48 hours away.

    It prepares

    A note in the trader's drafts folder:
    To: the customer Re: Order 417 Order 417 loaded 18 of 20 pallets, 1,800 cartons against 2,000 confirmed. Sails Saturday as booked. Revised invoice and packing list to follow.
    • Draft invoice 2,000 → 1,800, staged for the controller
    • Hold on the invoice until the certificate matches, staged for the documentation desk
    • 200 cartons still open. Ship Thursday or close short? A question for the trader
  5. Then it waits

    Your team decides

    The trader sends the note and decides the 200 cartons. The controller approves the correction. The documentation desk clears the hold.

    No ERP record changed. No message was sent to the customer, the supplier or the carrier.

    The document deadline

    Caught Tuesday: time to correct the invoice and the documents before the deadline. Missed until arrival: the risk of a claim, a short payment and weeks of cleanup.

Every value links to its source. Uncertain fields stay blank for review. Nothing is sent or written back without approval.
